Your tasks
- Managing and scheduling appointments in international environment & locations,
- Organizing meetings and events including agenda & actions tracking,
- Ensuring internal and external correspondence in different languages (French, English and German),
- Supporting for general communication and preparation of various meetings presentation if needed,
- Planning & organizing travels: preparation, planning & follow up and settlement of expenses,
- Supporting indirect budget planning and controlling of expenses of the Division,
- Coordinating proactive of activities with other assistants of the department,
- Ensuring organization/maintenance/coordination of communication digital hubs (format, content, use),
- Ensuring new comers management (fiche STAR, IT access & hardware request, access rights management, guidance & support), as well as collaborators leaving,
- Participating to team well-being dynamic as a key contributor & animator: listening, supporting, advising, organizing team events,
- This role will involve some travel for business and as such you must be able to travel accordingly.
Required skills
- At least 5 years of experience on a similar position (assistant and/or secretary),
- Experience in dealing with international stakeholders,
- Very good knowledge of MS Office including SAP,
- Very good command of the internal administration tools and of the Hub,
- Excellent teamwork skills and a high level of awareness of loyalty and confidentiality,
- Excellent communication skills,
- Good sense of organisation matters (proactivity, anticipation, priorities management),
- Independent, flexible and proactive working methods,
- Great interest for supporting to develop the team dynamics,
- Negotiation level of French and an advanced level of English and German.
