Missions

  • Organizing and managing the CMO's complex agenda: diary management and effective scheduling of meetings and activities as required, including coordination with other Board Member / Senior Executive Offices and teams across the globe
  • Assisting with the CMOs complex end-to-end global travel arrangements and effective coordination of itineraries (incl. travel bookings, submission of travel pre-approval forms, coordination of any visa applications, processing and submission of expenses, etc…) ensuring adherence to corporate travel policy at all times
  • Managing physical meetings and web conferences / events, including booking of venues, supplies and/or meals as required
  • Performing proxy role for various systems and internal approvals, creating Purchase Orders, process invoices, controling expenses as well as supporting on ad hoc projects and coordination with stakeholders
  • Assisting with presentations (incl. formatting, proofing, copying, etc.) in addition to filing, scanning documents and couriering as required in a timely manner and collaborating with other executive and administrative assistants throughout the organization to ensure smooth execution and high-quality service
  • Providing high level and /or back up support (agendas & meetings management) for the Executive team as required, as well as managing administrative projects as required; liaising with colleagues to get information, updating contact lists
  • Tracking and monitoring the team’s holidays and leaves of absence
  • Organizing internal and external team events & seminars (travels, transfers, hotel rooming, events, venues, meals and activities…)

Profile

  • Proven experience in a similar Executive Assistant / Personal Assistant position
  • Strong sense of confidentiality and stakeholder management, tact, strong judgement, discretion and attention to details
  • Initiative to rapidly resolve general issues and queries in an efficient manner, you have rigorous, strong organizational and planning skills, as well as good interpersonal skills, diplomacy and ability to adapt to different interlocutors
  • Excellent time management skills and the ability to work under conflicting priorities; this role often requires a high degree of flexibility and re-prioritization at short notice
  • Strong knowledge of Outlook, MS Word, Excel, PowerPoint
  • Excellent verbal and written communication skills with the ability to think logically and consider alternatives to provide practical solutions based on a broad understanding of relevant factors
  • Fluent in English. French or German will be appreciated, but optional.
