Tasks

Archiving governance

  • Develop and implement an archiving policy that complies with legal and regulatory requirements, including analogue and digital components
  • Ensure the legibility, durability, authenticity, integrity, classification and accessibility of current and intermediate archives, in accordance with professional standards
  • Manage archiving infrastructure (current, intermediate) with the CSSF's REFM department
  • Implement and operate, in collaboration with the IT department, an electronic archiving system (EAS) that complies with standards (e.g. OAIS, MoReq, NF Z42-013)
  • Assess the packaging material requirements for permanent archiving
  • In the event of consultation of archives transferred to the National Archives, deal with the legal department for any requests for exemptions before the expiry of the communication deadlines (Art. 17 of the aforementioned law).

Records schedules

  • Ensure that the records schedules : compliance with administrative retention periods, final disposition decisions (transfer/destruction)
  • Propose adjustments based on changes in archive management within the CSSF
  • Provide regular statistics on archive management within and outside the CSSF and submit them to the National Archives.

Collaboration

  • Apply the recommendations of the Luxembourg National Archives
  • Actively participate in the network of archiving delegates
  • Report any useful information (disasters, equipment projects, relocations, etc.) to the National Archives
  • Be present during inspection visits and ensure compliance
  • Collaborate with the CSSF's IT, Facility Management and DPO departments
  • Promote a culture of archiving and organise internal training
  • Organise the sorting, inventorying and physical preparation of archives for their final transfer (analogue and digital)
  • Organise the destruction of public archives in accordance with the sorting table and official recommendations

Profile

  • University degree (Bachelor's degree or higher) in Archival Science or a related field
  • Proven experience in an archiving position
  • Proficiency in Luxembourg legislation and standards applicable to archiving
  • Experience in implementing archiving procedures, including digital procedures
  • Excellent command of French and English (spoken and written); knowledge of German and/or Luxembourgish is an asset
  • Ability to promote a culture of archiving within the institution and to work across departments
  • Proficiency in office tools and EDM/SAE solutions
  • Rigorous, organised, autonomous, a team player and professional discretion.
