Event Planner Europe (m/f/d)
Tasks/Responsibilities
The Event Specialist, located in Berlin, is responsible for the planning and execution of all customer facing in-person and virtual events; including tradeshows, workshops and user meetings in Europe. This responsibility requires working with cross functional teams on tradeshow selection, coordination of Bruker participation (virtual: web presence, advertising, lead generation; in person: booth design, shipping booth properties and demonstration tools, lodging for attendees), marketing messages and materials, pre-event promotional activities, and post-event follow-ups, analysis and metric reporting. The specialist will be responsible for tracking expenses and staying within budget.
Essential Functions:
- Manage all logistics related to events, whether on-site or remote. Logistics items include: hotel reservations, ordering of booth utilities, securing transportation, booth set up and tear-down, arrange group dinners, etc. and liaise between attendees and 3rd party vendors for any changes/exceptions
- Together with the team, creation of all event-related signage and advertising – personally create materials or work with graphic designer on large projects – using a combination of print and electronic media, web promotion, press kits, and email announcements to target audiences and drive attendance
- Coordinate the identification and secure placement in key conferences, tradeshows, speaking engagements, workshops and sponsored events
- Catalog and maintain all event related materials: booth properties, rollup signs, and give aways
- Track leads and other qualitative and quantitative results around events/programs (including survey and feedback forms) and report as needed
- Oversee event budget, including measurement and reporting (quarterly basis at a minimum)
Additional Responsibilities:
- Travel to events is a requirement in non-pandemic time. Estimate up to 30% of time in non-pandemic time.
- Identify and evaluate society and association programs aligned with overall business strategy and positioning
- Evaluate effectiveness of program processes and identify any areas for improvement
- Work with inter-company divisions in shared programs, providing miscellaneous logistical, sponsorship and promotional information
Your profile
- Background Bachelor's degree in event management, marketing, advertising, or related field
- 3 or more years of experience in event planning and management
- Experience working for hi-tech B2B organization or in scientific industry is preferred
- Ability to balance multiple priorities with strong skills in planning and problem-solving
- Intermediate level proficiency with MS Office software, including Word, Excel, PowerPoint and Outlook
- Proficient skills in graphic design and social media, a plus
- Fluent English skills ( written and spoken), additional language skills beneficial, in particular French
- Must be detail oriented
